Configure Gmail SMTP in Business Central Using an App Password

Overview

When you set up Gmail through the SMTP Connector in Microsoft Dynamics 365 Business Central, you may see SMTP error 535 if Google rejects the sign-in details. In many cases, this can be resolved by using a Google App Password instead of the normal account password.

This guide walks through the setup from start to finish: enabling 2-Step Verification, creating an App Password, configuring Gmail SMTP in Business Central, and sending a test email.

Prerequisites

  • Access to the Gmail or Google Workspace account you want to use.
  • 2-Step Verification enabled, or permission to enable it.
  • Permission to set up Email Accounts in Business Central.

Step 1: Open Email Accounts in Business Central

  • Sign in to Business Central.
  • Select the Search (Tell Me) icon.
  • Search for Email Accounts and open the page.
  • Select New → Add an email account.
  • Select SMTP as the email account type.
  • Select Next to continue.

Step 2: Enable 2-Step Verification in Google

Sign in to the Google account you want to use for sending email. Open the Google Account Security page and go to How you sign in to Google.

  • Open 2-Step Verification.
  • Follow the prompts to enable it.
  • Once it is enabled, return to the Security settings.

If 2-Step Verification is already enabled, continue to the next step.

Step 3: Create an App Password

Once 2-Step Verification is enabled, open App Passwords. Google may ask you to sign in again.

  • Open App Passwords.
  • Enter a name such as Business Central SMTP.
  • Select Create.
  • Copy the generated App Password. You will use it in Business Central.

Keep the App Password private. Mask it completely in any screenshots used for the blog.

Step 4: Configure Gmail SMTP in Business Central

Return to Business Central and complete the SMTP account using the Gmail settings below.

For the Password field, use the App Password created in Google, not your normal Google account password.

Step 5: Send a Test Email

Finish the SMTP setup, then send a test email from the Email Accounts page. Enter a recipient email address and select Send Test Email.

Step 6: Confirm the Email Was Received

Check the recipient mailbox and confirm that the test message was received. This confirms that Business Central is successfully sending email through Gmail SMTP.

Troubleshooting

If SMTP error 535 still appears

Check the following:

  • The username is the full Google email address.
  • The App Password was entered correctly.
  • You are not using the normal Google account password.
  • 2-Step Verification is still enabled.
  • The App Password has not been revoked.
  • For Google Workspace, your organization allows this sign-in method.

If App Passwords are not available

App Passwords may not be available for every Google account or organization. If you are using a managed Google Workspace account and cannot see the option, check with your Google Workspace administrator.

Conclusion

SMTP error 535 usually means Gmail has rejected the credentials used by Business Central. If App Passwords are supported for the Google account, using an App Password instead of the normal account password can resolve the issue. Once the SMTP account is updated, send a test email to confirm everything is working correctly.
